Guidelines for Student Withdrawal & Transfer Certificate Application

Please read the following instructions carefully before applying for withdrawal and Transfer Certificate (TC):

Application Process
- Application Format
Withdrawal requests must be submitted using the official form available at the school reception. The form should include the academic session, current class, student ID, and registration number.
- Authorized Applicants
Only the student’s father, mother, or legal guardian is permitted to apply for the Transfer Certificate.
- Last Attendance & Reason for Withdrawal
The application must specify the final date the student will attend classes and the reason for leaving. The student should not attend school beyond the stated date.
Notice Period & Fee Requirement
- Notice Period & Fee Clearance
A minimum of one week’s notice is required before withdrawal. Fees for the relevant quarter must be paid in full. Attach a photocopy of the fee slip or, if paid online, the acknowledgment receipt. For ECS payments, mention the transaction in the application.
- Fee Documentation:
Attach a photocopy of the fee slip. For online payments, include the acknowledgment receipt. If paid via ECS, mention it in the application.
Applicant Verification
- Applicant Verification
The applicant’s name and signature must match those on the original registration form. If there has been a change in signature, notify the school office in writing. If the name differs from school records, valid ID proof must be provided.
- Consent for Separately Living Parents
If parents live separately but are not legally separated, consent from both is required for withdrawal.
Security Deposit Refund
- Security Deposit Refund
Submit a separate written request for a refund of the security deposit. Refunds are processed only after written intimation of withdrawal or cancellation, and clearance of all dues up to the current quarter. The admission fee and other charges are non-refundable under any circumstances.
- Supporting Documents for Refund
Attach the original fee receipt issued at the time of admission as proof of security deposit payment.
- Refund Timeline & Cheque Details
Claims for refund must be made within one year; otherwise, the deposit will be forfeited. Re-issuance of cheques is at the discretion of school management. Specify the name of the parent or guardian in whose favor the cheque should be issued.
Additional Notes
- Council Countersignature Requirement
If the student is relocating out of state or abroad and requires council countersignature on the Transfer Certificate, mention this in the application.
- Collection by Representative
If a parent cannot collect the Transfer Certificate personally, an authorization letter must be provided for the designated representative.
- Banglar Shiksha Portal Requests
Students requiring a Transfer Certificate via the Banglar Shiksha Portal must notify the school office separately in writing.
- Non-Refundable Charges
Admission fee, tuition fee, transport fee, and session charges are non-refundable, except for the caution money (after deducting dues). Tuition fees apply from the first quarter of the academic year, regardless of the joining date.
Important Note
The Transfer Certificate will be issued only after all the above conditions are met and any outstanding dues (e.g., library, laboratory) are cleared. No other official documents will be provided by the school apart from the Transfer Certificate.
Attendance Policy & Leave Guidelines
To ensure academic consistency and student well-being, the following attendance rules are to be strictly observed:
Minimum Attendance Requirement
- Minimum Attendance: Students must maintain at least 75% attendance per term to be eligible for the final examination.
- Promotion Criteria: Students with attendance below 75% will not be considered for promotion to the next class.
Medical & Emergency Leave
- Medical Emergencies: Students requiring medical attention during school hours will be directed to the infirmary. In serious cases, parents may be contacted to take their child home.
- Medical Leave Documentation: If a student is absent for more than 3 consecutive days due to illness, a medical certificate must accompany the leave application.
Leave Application Rules
- Post-Attendance Leave: Students requesting leave after marking attendance will be permitted only if the Principal or School Nurse deems it necessary, and will be granted only with approval from the Principal.
- Non-Essential Leave: Requests for leave to attend weddings or outstation functions are discouraged. Exceptions may be considered only in urgent cases, subject to the discretion of the Head of Institution.
Extended Absence & Re-admission
- Unauthorized absence exceeding 14 consecutive days may result in removal from the school rolls.
- Re-admission will require payment of fresh admission fees.
- The school reserves the right to cancel admission if leave exceeds 3 months without prior notice or if fees remain unpaid.
